The aim of this procedure is to provide guidance in order to match COMPANY’s document preparation requirements (templates, title block, layout, …) applicable to all Project Deliverables (including associated LICENSORs, VENDORs and SUB- produced by CONTRACTOR CONTRACTORs), to be applied during all phases of the Project.

REFERENCES

In case of conflicts between two or more reference documents, the priority defined by contract shall apply.

Dates shall be registered as follows : DD/Mmm/YYYY Where DD are the two digits of the day, Mmm the first 3 letters of the name of the month in English and YYYY the four digits of the year (i.e. 26/Feb/2024)

INDICATION OF REVISION

When any revision is made, the revised portion of a document and drawing shall be clearly identified in accordance with the following manners and old revision marks or indications relevant to previous version shall be removed.

• For Documents prepared in MS Word Format the revised portion, line or paragraph, shall be denoted with a revision line in the margin. Only if the entire section is deleted, its Header shall be shown as strikethrough without any change in font color or style along with revision line in the margin.

• For documents prepared in MS Excel Format the revision number or indications provided in the

respective row. If impossible, shaded or encircled by an ellipse or a circle.

For drawings prepared in AutoCAD / MicroStation Format the revised portion shall be encircled by “Cloud Markings”, with a triangle revision index, e.g. “ 2 ” mark right side to the text changes.

• For drawings extracted from the Project designated software, such as SmartPlant P&ID, PDS3D, etc.

the specific revision marks or indications provided in the respective seed files shall be applied.

• For multiple sheets documents cover sheet and index sheets of the multi-sheets documents shall be

always revised, with indication of individual sheet revision.

NATIVE FILE NAMING PROCEDURE

Files must be named as per CONTRACTOR syntax requirements (e.g. 4439-YZ-PC-0000000003_0). Where “0” is revision number. When more than one native file is present (e.g. because of attachments) all the files must be collected in one “zip”. “Zip” must be named as per main document syntax. See example below:

MANGEMENT OF ATTACHMENT AND APPENDIX

Appendices and attachments are two different kinds of items and need to be managed in two different way inside a document.

8.1 Appendix

Appendices are mainly tables, figures, schemes and in general any item that can be included inside the document without change in the document format itself (for example non change from “portrait” to “landscape” or from “A4” to “A3” etc.). The appendix shall be part of the “text”, it means that in the sheet where appendix is, the “header” and “footer” shall be maintained. The appendices shall be listed in the contents sheet (typically the second page of a document). The appendices shall be numbered (in serial way) and it should have a title.

8.2 Attachment

Attachments are mainly drawings, photographic reports, graphics, slides, and any item that can be included inside the document with change in the document format itself (for example change from “portrait” to “landscape” or from “A4” to “A3” etc.). The attachment shall not be part of the “text”. Before each attachment a sheet could be present with the same header and footer of the whole document and with the attachment number and title.
